Overview

Karna is seeking a Management Analyst who enjoys a fast-paced environment and has substantial experience in providing administrative and logistics support through, planning, scheduling, execution, closing and conducting post meeting/conference support, to join our team of qualified, diverse individuals in developing, defining, and making recommendations on how to improve healthcare quality, access and safety to beneficiaries of one of the nation’s leading federal agencies.

 

Specifically, the management analyst will provide efficient and effective day-to-day office support to enable seamless business operations to accomplish the organization’s mission.  The candidate must be open to domestic CONUS travel, with the potential for multiple trips per year.

Responsibilities

Office Support

  • Execute work as provided by senior leadership to support the mission of the agency
  • Gather and analyze relevant data for the development of meeting agendas, scripts and minutes
  • Respond to inquiries or information requests from headquarters and the field and provide recommendations and guidance
  • Review and update internal SOPS
  • Attend meetings and liaise with senior government personnel and other stakeholders
  • Assist in management of documents and records
  • Track and document information requests, and ensure that responses are submitted, reviewed and assigned within the agency’s timelines
  • Prepare official documents as requested by senor officials
  • Conduct general and routine administrative duties as requested

Meeting Support

  • Manage pre, during and post conference/event activities
  • Collect and distribute required meeting materials such as reports, briefing slides and public statements; building binders or folders an coordinate other logistical functions
  • Participates in various meetings, functions, and events as appropriate; receives information about departmental operations; and participates in discussions
  • Prepare and process domestic travel requests and vouchers, including making travel and accommodations arrangements, researching and procuring event related materials and supplies

Qualifications

Requirements: 

  • Bachelor’s degree in business administration, public health or health related fields of study
  • 10+ years of experience providing administrative/office and logistical meeting/event support
  • Excellent interpersonal skills
  • Ability to manage multiple tasks and changing priorities
  • Proficient in general computer office software applications such as SharePoint, Outlook, Word, Excel, PowerPoint
  • Ability to receive, process, track and respond to requests for various documents and follow up on outstanding actions in process with minimal supervision
  • Experience drafting, editing, formatting and disseminating reports and creating spreadsheets
  • Provide general guidance or support on Departmental procedural matters
  • Ship and mail work related packages and documents as requested by the Department, and collect and distribute hard copy mail
  • Participates in various meetings, functions, and events as appropriate; receives information about departmental operations; and participates in discussions
  • Keeps the assigned supervisor apprised of all activities; and may be required to submit periodic reports detailing activities and observations of the work performed
  • Attend meetings and provide minutes and executive summary reports of meetings
  • Experience working with a range of stakeholders including senior leadership, subject matter experts and other internal and external partners
  • Skill in written and oral communications sufficient to prepare and present findings and recommendations, paying attention to detail with minimal need for revisions
  • Ability to multi-task effectively without sacrifice to quality
  • Must be United States citizen

 

Preferred Qualifications:

Candidates with these desired skills will be given preferential consideration:

  • Government contracting/public health is a plus   
  • Strong understanding of current and priority health care issues
  • Experience in working in a very formal and exclusive setting requiring a highly professional demeanor
  • Experience managing and coordinating travel requests within the Defense Travel System
  • Familiarity and working experience of the Correspondence and Task Management System (CATMS)
